HEAD OF FINANCE AND OPERATIONS

Working as an integral member of the senior team, the Head of Finance and Operations is responsible for leading a small team of people who oversee all operational elements of running a successful design studio. The objective is to create an environment where designers can do their best work and to assist the Managing Director in running the business effectively and efficiently. The role requires a broad skillset to tackle a diverse agenda, but excellent financial literacy and commercial acumen alongside exemplary leadership skills are pre- requisites. Management of third-party professional services such as accountants and IT providers are also a key facet of this role.

KEY RESPONSIBILITIES AND TASKS

Oversee and work with the Finance Manager and the appointed Chartered Accountants to ensure robust and effective financial management of the business, including:

• compliance with all statutory reporting and tax requirements including overseas sales, imports and exports
• annual budgeting and ongoing financial monitoring, forecasting and performance analysis
• proactively identifying potential opportunities, risks and issues together with mitigation and remediation plans
• invoicing, payments and expense management
• payroll and pensions
• general book and record keeping
• Oversee and work with the Studio Manager to ensure the facilities create a wonderful and effective design environment that is a collaborative home for employees as well as a pleasure for clients to visit.
• Own the relationship with third-party IT service providers, driving strategic initiatives and managing ongoing performance to ensure IT is a constantly evolving enabler of design and business success.

Responsibility for all operational HR tasks such as:

oContracts and record keeping
oMaintenance of business policies in consultation with the senior leadership team
oHR benefits management
oAdministration of the performance management process
oRecruitment process coordination
oManagement of Sponsors License process and obligations

• Third party supplier selection, relationship and performance management for core business services such as facilities, financial advice, insurance, HR consultants, energy provision, maintenance etc.
• Manage the spend on business overheads effectively and to agreed budgets.
• Work with the Head of Sustainability to ensure a sustainable approach to business operations.
• Compliance with all applicable regulations including GDPR.

• Strong analytical skills with an ability to summarise and clearly present financial performance information
• Commercial acumen with experience of contract negotiation and management
• IT literate with experience of managing IT providers and IT projects
• Credibility and relationship skills with external parties
• Ability and willingness to work both in the detail and at a strategic level
• Highly organised and able to prioritise and problem solve
• Exceptionally discrete and trustworthy
